We collect information necessary to provide seamless appointment booking and payment settlement: (a) Merchant Account Data: name, business name, business email, contact phone number, settlement banking identifiers, and operational hours; (b) Client Booking Data: client name, email address, phone number, and service selections; (c) Integrations & Calendar Metadata: appointment times, busy/free status from connected Google/Outlook calendars, and virtual meeting room identifiers.

2. How We Use Your Information

We use the collected information exclusively to: (a) confirm, schedule, and facilitate client bookings; (b) process upfront deposits and distribute merchant payouts; (c) dispatch transactional confirmation emails, SMS reminders, and calendar invitations; (d) synchronize practitioner availability across two-way calendar connections; and (e) prevent double-booking, fraud, and unauthorized platform access.

3. Payment Processing & Tokenization

Payment details (credit cards, Apple Pay, Google Pay, direct debits) are processed directly by our PCI-DSS Level 1 certified payment gateway partners. Letlify never stores, logs, or has access to full credit card numbers or banking passwords. All payment transactions utilize 256-bit TLS/SSL encryption.

4. Two-Way Calendar Sync & Privacy

When you connect Google Calendar or Outlook 365, Letlify only reads event time boundaries (start time and end time) to detect schedule conflicts. We do not index, store, or share the private subject lines, notes, or attendee lists of your personal non-Letlify calendar events.

5. Information Sharing & Third Parties

We do not sell, rent, or monetize personal data to third parties or advertising networks. We share information only with verified infrastructure sub-processors essential for service delivery (e.g. cloud hosting, transactional email delivery via Resend/SMTP, and SMS routing via Termii).

6. GDPR & CCPA Compliance (Your Rights)

Regardless of your geographic jurisdiction, you have the right to: (a) request access to the personal data we hold about you; (b) request correction or complete erasure of your data ("Right to be Forgotten"); (c) export your booking history in structured JSON/CSV format; and (d) revoke consent for marketing communications at any time.

7. Data Retention & Security

We retain booking records and financial receipts for as long as necessary to comply with legal accounting obligations and resolve disputes. We employ industry-standard encryption, strict role-based database access, and continuous intrusion monitoring to safeguard your data.
